CONTENT OF ABSTRACTS
Abstracts submitted to this conference should reflect original work. By submitting an abstract, the authors affirm that they have not previously published these data, that they have not previously presented them at a national scientific meeting to the same audience, and that they are not planning to present or publish them prior to the dates of the CSEB/APHEO Joint Conference in May, 2009. The conference will accept abstracts for review which were also submitted to the CSEB Student Conference. If questions arise about the eligibility of work for submission to this conference, contact the organizers to discuss the details.
Authors accept sole responsibility for the statements in their abstracts. Abstracts should be carefully proofread to avoid errors. Once the abstract has been submitted, editing can only be performed in exceptional circumstances by contacting the organizers.
Abstracts will be reviewed on the basis of the following criteria: novelty of the research, significance of the findings, and clarity. The abstract should clearly present the objectives and hypotheses of the study and include a summary of new, unpublished results. Abstracts which do not contain the results of the project will generally not be accepted for presentation unless the work is clearly conceptual or theoretically based. Abstracts which are poorly written or use poor syntax/grammar will make it difficult for the reviewers to evaluate the submission and will lead to the submission not being accepted for presentation at the meeting. Authors should obtain appropriate advice on writing style.
Each abstract should contain: (a) an introductory sentence indicating the purposes of the study; (b) a brief description of pertinent research methods; (c) a summary of the new, unpublished data; and (d) a statement of the conclusions.
SUBMISSION PROCEDURE
ALL ABSTRACTS WILL BE PREPARED USING OFF-LINE WORD PROCESSORS. THE COMPLETED ABSTRACT WILL BE SUBMITTED TO THE CONFERENCE AS AN ATTACHMENT. Authors are encouraged to submit abstracts using RTF although other common formats (Word, Word Perfect) will be accepted. Please avoid PDF since this makes final editing more difficult.
CSEB/APHEO Online Abstract Submission System
Abstracts for the CSEB/APHEO Joint Conference 2009 must be submitted online through the Online Abstract Submission Form. Authors will first be required to create a user profile. After creating a profile, authors can sign in using the Access Key given to them in their account confirmation email. It is recommended that the confirmation email be kept as the Access Key will also be used to submit the conference registration fees (when available). Authors are permitted to submit more than one abstract although the organizing committee reserves the right to limit submissions in the event of an excessive number of abstracts from any single author.
Note Regarding Internet Browsers
Authors are encouraged to use Microsoft Internet Explorer version 6.0 or higher or Mozilla Firefox version 2 or higher to access the Online Abstract Submission System. Other browsers (e.g. Safari) should also work.
Technical Requirements for Abstracts
All abstracts will be required to fit within a box of 4.5” x 6.5” (height x width). Within that space, authors can use text, tables, black and white figures, etc. required to present their work. Note that the abstract will be included in the abstract book exactly as submitted (no editing or typesetting will be performed). Authors are encouraged to ensure readability of their submission.
Each abstract is required to comply with the following technical requirements (click here to see sample abstract):
1. The submission must show the abstract inside the 4.5” x 6.5” (height x width) box.
2. Text should be typed in Times New Roman, be no smaller than a 10 point font and no larger than a 12 point font
3. Lines should be single-spaced;
4. The abstract title must be listed first in the box;
5. The next line must list the authors giving last name and initials. Use superscripted numbers to indicate affiliations linkages;
6. The list of affiliations should start on the next line. Precede each affiliation by the appropriate superscripted number. Separate affiliations by semi-colons.
7. There will be a one line space after the author affiliations;
8. The abstract proper can contain any combination of text, tables, equations and figures which are required to present the content. Figures, etc. should not be photoreduced to such as extent as to render them illegible when the abstract is printed on a standard laser printer. No color is allowed.
Confirmation of Abstract Submission
Authors will be sent an e-mail to confirm the successful submission of their abstract. This e-mail will contain an Abstract ID Number. This number will be displayed in your confirmation email upon successful submission of your abstract. Please refer to the Abstract ID Number in any subsequent abstract communications. If you require confirmation of your submitted abstract, please contact the organizing committee.
Accuracy of Abstracts
The accuracy of the submitted abstract is the responsibility of the authors. Abstracts will not be edited for typographical errors or corrected by CSEB/APHEO staff. Abstracts which do not conform to the technical requirements will be returned to the authors without review. Therefore, authors should carefully prepare and proofread their abstracts prior to submission.
Note
The e-mailed confirmation of receipt is not a notice of acceptance of the abstract for presentation at the Annual Meeting. Notifications of late-breaking abstract status will be sent by April 30, 2009.
